Privacy notice
Effective 4 October 2026. This notice explains how DigiSigns uses personal information when you visit this website or contact us about our services.
Who is responsible
Digital Signage Systems Ltd, trading as DigiSigns, is the controller. Company number 12278005, registered in England and Wales. Information we use
If you email us, we receive your name, email address, message, and any company, telephone or project information you choose to include. Our hosting service may process your IP address, browser and device information, requested pages, time of access and security events to deliver and protect the website. If you submit the online enquiry form, we receive your name, email address and message, plus any company, telephone and service information you provide.
Purposes and lawful bases
- Responding to enquiries and managing business relationships: our legitimate interests in communicating with customers and prospective customers.
- Taking steps at your request before entering a contract, or delivering a contract with you: contractual necessity where applicable. For contacts acting for a business, we generally rely on legitimate interests.
- Operating and securing the website: our legitimate interests in providing a reliable service and preventing abuse.
- Keeping records required by law: compliance with legal obligations.
We do not use enquiry details to automatically enrol you in marketing. This website has no checkout, advertising trackers, or automated decisions producing legal or similarly significant effects. You do not have to provide information, but we may be unable to answer an enquiry without contact details and relevant project information.
Who receives information
Information may be accessed by authorised people handling your enquiry, Cloudflare for website hosting and security, and Google Workspace for business email. Relevant information may be shared with professional advisers or service providers where necessary for your enquiry or contract, and with authorities where required by law. We do not sell your personal information.
Our online enquiry form sends the information you enter to FormSubmit, which forwards it to our sales inbox. FormSubmit processes the submission to provide its form delivery service. Its privacy information describes its practices. Contact us if you have questions about a submission. You can contact us directly by email instead of using the form.
International processing
Cloudflare and Google operate internationally, so information may be processed outside the UK. Their published processing terms provide mechanisms for restricted transfers, including standard contractual clauses and the UK Addendum where applicable. We have not yet verified FormSubmit’s processing locations, contractual transfer safeguards or retention periods. If you prefer not to use that service, contact us directly by email. Details for our hosting and email providers are available in Cloudflare’s processing terms and Google’s processing terms. Contact us for information about the safeguards applicable to your data.
Retention policy
Our policy is to review unsuccessful or inactive enquiries for deletion 12 months after the last substantive contact, unless a continuing business need or legal obligation justifies keeping them longer. Contract and associated financial records may be retained for six years after the relationship ends, or longer where law or an active dispute requires it. Hosting and security logs are retained according to the relevant provider’s service and security settings. Backup copies may remain until the normal backup expiry cycle.
Your rights
Depending on the circumstances, you can request access, correction, deletion, restriction or portability of your information. You have the right to object to processing based on legitimate interests, including business enquiry handling. You can object to direct marketing at any time. Where we rely on consent, you can withdraw it without affecting earlier lawful processing. Email us using the address above. We normally respond within one month; we may need to verify your identity, and lawful exceptions can apply.
You can complain to the Information Commissioner’s Office, telephone 0303 123 1113. You do not have to contact us first.
